Portal Setup Guide

Your Zendo gets its own portal at a custom subdomain like yourname.zenserve.co. This guide covers setting up and customizing your portal.

Understanding Subdomains

Every Zendo gets a unique subdomain that serves as your organization's portal:

yourname.zenserve.co

Benefits of your portal subdomain:

  • Easy to remember - Share a simple URL with members
  • Branded experience - Shows your logo and organization name
  • Direct access - Members can bookmark and access directly
  • Seamless login - Sessions work across main site and subdomain

Configuring Your Subdomain

Your subdomain is automatically generated from your Zendo name during registration. To change it:

  1. Go to Settings
  2. Find the Portal Settings section
  3. Edit the subdomain field
  4. Click Save

Subdomain Rules

  • Only lowercase letters, numbers, and hyphens allowed
  • Must be 3-50 characters long
  • Cannot start or end with a hyphen
  • Must be unique across all Zendos

The availability checker shows a green checkmark when your subdomain is available.

Membership Access Modes

Control how new members join your Zendo in Settings > Portal Settings > Membership Access:

Invitation Only (Default)

Only administrators can add new members by sending email invitations.

Best for: Private Zendos with controlled membership

Request to Join

Visitors can submit a request from your portal. Admins review and approve or deny.

Best for: Zendos that want to vet new members before accepting them

Open Registration

Anyone can create an account and join immediately as a Member.

Best for: Public Zendos that welcome all practitioners

When membership access is set to "Request to Join":

What Visitors See

Your portal page displays a "Request to Join" button. Clicking it shows a form where they enter:

  • First and last name
  • Email address
  • Optional message (why they want to join)

What Admins See

When a request comes in:

  1. All administrators receive an email notification
  2. A badge appears on the Members page showing pending requests
  3. Go to Members > Membership Requests to review
  4. For each request, you can:
    • Approve - Sends an invitation email to the person
    • Deny - Sends a polite decline email

Open Registration

When membership access is set to "Open Registration":

  • Your portal displays a "Create Account" button
  • Visitors fill out a registration form (name, email, password)
  • Account is created immediately with "Member" role
  • They're logged in and redirected to the dashboard

Note: Open registration always creates accounts with the Member role. If you need someone to be a Coordinator or Administrator, you'll need to change their role in Settings after they register.

Portal Branding

Customize your portal's appearance in Settings:

Logo

Upload your Zendo's logo to display on:

  • Your portal landing page
  • The dashboard sidebar

Supported formats: PNG, JPG, SVG, WebP (max 2MB)

Zendo Information

Your portal displays:

  • Zendo name - Your organization's name
  • Tradition - Your Zen tradition (if set)

Portal URLs

Share these URLs with your members:

  • Portal home: yourname.zenserve.co
  • Direct login: yourname.zenserve.co/login
  • Dashboard: yourname.zenserve.co/dashboard
