Coordinator Guide
As a coordinator, you help manage the schedule by creating events, assigning members to positions, and inviting new members. You have more access than regular members but less than administrators.
What You Can Do
You CAN
- Full position management (create, edit, delete, activate, deactivate, promote)
- Full event management (create, edit, delete, publish, cancel)
- View all members
- Assign members to positions
- Update qualification levels (trainee/qualified)
- Invite new members (as Members only)
- Send position invitations for events
- View schedule and sign up for positions
- Manage your profile and preferences
You CANNOT
- Access organization settings
- Change member roles
- Deactivate members
- Invite members as Coordinators or Administrators
Assigning Members to Positions
Your primary role is to ensure members are assigned to positions they're qualified for. To assign members:
- Go to Members in the navigation
- Click on a member's name to view their profile
- Click "Manage Position Assignments"
- Check the positions they should be assigned to
- Set their qualification level for each position
- Click Save
Qualification Levels
| Level | What It Means |
|---|---|
| Trainee | Learning the position. Can only sign up for training slots (not regular serving). |
| Qualified | Ready to serve. Can sign up for regular positions. |
Inviting New Members
You can invite new members to join your Zendo, but only as Members (not as Coordinators or Administrators).
- Go to Members
- Click "Invite Members"
- Enter the email address(es)
- Optionally pre-assign positions
- Add a personal message if you'd like
- Send the invitation
Note: The role will automatically be set to "Member" for invitations you send.
Sending Position Invitations
When you need someone to fill a specific position for an upcoming event, you can send them a position invitation:
- Go to Schedule and click on the event
- Find the position you need filled
- Click "Invite"
- Select the member you want to invite
- Optionally add a personal message
- Send the invitation
The member will receive an email and can accept or decline. If they accept, they're automatically signed up for that position.
Tip: Position invitations expire after 7 days. You can cancel and resend them if needed.
Viewing Schedules and Signups
From the Schedule page, you can:
- See all upcoming events
- View who's signed up for each position
- See which positions still need people
- Assign members directly to positions (using the "Assign" button)
- Remove members from positions if needed
Your Own Signups
Like any member, you can also sign up for positions you're assigned to:
- View your assigned positions in the dashboard sidebar
- Sign up for available positions by clicking "I'll serve"
- Cancel your signups if needed
- Manage your notification preferences in your Profile
