Billing & Subscription

ZenServe uses a simple subscription model designed to keep the platform sustainable while remaining accessible to Zendos of all sizes.

Trial Period

Every new Zendo starts with a 60-day free trial. During this time you have full access to all features, including:

  • Unlimited members
  • Unlimited events and positions
  • Email notifications and reminders
  • Custom subdomain portal
  • File attachments (Supporter feature preview)

No credit card is required to start your trial. You'll receive email reminders at 14 days and 3 days before your trial ends.

Tip: Use the trial period to fully set up your Zendo, invite members, and run at least one event cycle before deciding on a plan.

Pricing Plans

ZenServe offers two subscription tiers, both with monthly and annual billing options:

Sustainability

$13/month

or $143/year (save $13)

Covers the essential costs to keep ZenServe running.

  • Unlimited events & positions
  • Email notifications
  • Custom vanity URL

Supporter

$20/month

or $200/year (save $40)

Helps sustain ongoing development and includes premium features.

  • Everything in Sustainability
  • Upload attachments for positions & events
  • Text message reminders for event signups
  • Send notifications from your own domain

Annual billing saves approximately 8% and is preferred by many nonprofit organizations for budgeting purposes.

Managing Your Subscription

Administrators can manage the subscription from the Billing page, accessible from Settings or the navigation menu.

Starting a Subscription

  1. Go to Settings and click Billing & Subscription
  2. Select your plan (Sustainability or Supporter)
  3. Choose monthly or annual billing
  4. Enter your payment details
  5. Click Subscribe Now

Your subscription begins immediately, and you'll receive a confirmation email with your receipt.

Cancelling

You can cancel your subscription at any time from the Billing page. When you cancel:

  • You'll retain full access until the end of your current billing period
  • No further charges will be made
  • After the period ends, your account enters read-only mode
  • You can reactivate at any time

Reactivating

If you've cancelled but are still within your billing period, you can reactivate your subscription from the Billing page to continue uninterrupted service.

Subscription Status

Your subscription can be in one of several states:

Trial

Your 60-day free trial is active. Full access to all features.

Active

Your subscription is current and payment is up to date.

Past Due

A recent payment failed. Please update your payment method to avoid service interruption.

Read Only

Your trial has expired or subscription has lapsed. Data is preserved but editing is disabled.

Read-Only Mode

When your account enters read-only mode (after trial expiration or subscription lapse), the following restrictions apply:

What's Restricted

  • Creating new events
  • Creating new positions
  • Inviting new members
  • Accepting position signups
  • Modifying events or positions

What's Preserved

  • All your data remains intact
  • Members can still log in and view schedules
  • Historical records are accessible
  • You can export your data

Restoration: Once you subscribe or renew, full access is restored immediately. No data is ever lost due to subscription status.

Payment Issues

If a payment fails, you'll receive an email notification. Here's what happens:

  1. Your account is marked as Past Due
  2. You have a grace period to update your payment method
  3. We'll automatically retry the payment
  4. If payment continues to fail, your account will enter read-only mode

Updating Payment Method

To update your payment method:

  1. Go to Billing & Subscription
  2. Your current payment method is displayed
  3. Enter new card details to replace it
